E-commerce Bookkeeping in Russia: How to Close the Month for Marketplace Sales

How should a foreign company close the month for marketplace sales in Russia?

A foreign company operating through a Russian subsidiary should reconcile marketplace reports with orders, returns, inventory movements, service documents and bank receipts. Revenue should be recorded from sales data rather than from the net payout alone, while commissions and other deductions are classified separately. The month can be closed when balances have been reconciled and any unresolved differences are documented, assigned and reflected in the reporting package.

The closing perimeter for marketplace reports

The Russian entity may receive several marketplace reports and payouts during one month. The accounting team should define a cut-off and identify which sales, returns, services and stock movements belong to the period. For accounting purposes, a late payout does not by itself move the underlying sale into the next month.
Sales activity

Capture completed sales, cancellations, customer returns and price adjustments using the marketplace report and the terms of the seller agreement.
Marketplace deductions

Classify each amount retained by the platform according to its economic purpose and supporting document. A single payout may combine several types of charges.
Inventory movements

Match goods sent to the marketplace with sold units, returns, goods in transit and closing warehouse balances. The cost of sold units must also be recognised in the correct period.
Settlements

Track the opening balance, period movements, payout dates and closing receivable or payable for each platform.

Gross sales and net payout

Marketplace accounting should preserve the difference between the seller’s revenue and the amount transferred by the platform. Where the marketplace acts as an agent, Russian tax guidance confirms that the seller’s income is not reduced merely because the platform retained its commission.

The accounting entries and tax treatment must reflect the contract terms, applicable tax regime and supporting documents. Seller-funded discounts, platform-funded discounts, compensation and penalties should not be grouped automatically because they may affect different accounts and reporting lines.

This bridge gives headquarters an audit trail from marketplace activity to the Russian ledger and group reporting package.

Documents supporting the monthly close

The document package differs between platforms. Depending on the contract and transaction, the close file may contain:
Sales evidence

A sales or agency report and a settlement statement.
Service documents

Universal transfer documents, invoices and service acceptance certificates.
Inventory data

Warehouse reports covering sales, returns, goods in transit and closing balances.
Group mapping

An explanation of how marketplace categories correspond to the parent company’s chart of accounts.

The e-commerce accounting team should check the legal entity, period, contract and amounts across the package. Missing documents should remain on an exception list rather than being replaced with an unsupported dashboard total.

Returns, inventory and settlement balances

  1. Match stock movements. Marketplace reconciliation should connect quantities as well as money. Goods transferred to a marketplace warehouse normally remain the seller’s inventory until the relevant sale or other disposal is recognised. The close should distinguish available stock, goods in transit, customer returns, damaged items and losses awaiting confirmation.
  2. Investigate differences. The e-commerce reconciliation file should show unresolved differences by marketplace and transaction type. Before clearing a discrepancy, the team should establish whether it represents a delayed report, a return, damage, loss or an internal posting error.
  3. Reconcile payments. Marketplace payment reconciliation links the opening settlement balance, period sales, returns, fees, compensation, payouts and closing balance. If the calculated balance differs from the marketplace statement, the difference remains open with an owner and supporting explanation.

Tax and group reporting after reconciliation

Once the operational data has been reconciled, the Russian subsidiary can complete the tax and reporting layer. It should confirm the applicable VAT and corporate tax treatment under its tax regime, check that marketplace service documents support recorded expenses and separate tax adjustments from accounting corrections.

The closing package for headquarters should show gross sales, returns, marketplace charges, the group’s net-sales and margin metrics, cash received, inventory exposure and unresolved items. If group definitions differ from Russian accounting, a documented bridge is more useful than replacing local figures with management estimates.

A direct non-resident sales model requires a separate review. Its Russian tax and payment obligations should not be inferred from the procedure used by a Russian subsidiary.

How we support marketplace month-end closing

We help foreign-owned companies turn marketplace data into a controlled monthly close rather than a collection of unrelated reports.

We organise sales, returns, fees, inventory and settlement data, investigate discrepancies and prepare figures that the Russian entity and foreign headquarters can use consistently. If marketplace balances do not match accounting records or payouts, contact us before the reporting deadline so that the cause can be identified and reflected in the correct period.
